First, what does your contract say? As a contractor you need to have
as many details spelled out in your contract as possible, simply to
reduce the chances of misunderstanding. Best is if you have a contract
that references a written specification, including revision number and
date. You then work to the spec. If they want changes they need to
first change the spec (which results in a change in scope and an
opportunity to get more money!)
Reality is that some issues are too minor to be reflected in the
formal spec, but you should still have a paper trail showing what was
requested and that you honored those requests.
Here's what I do: If someone calls me with something they want me to
do, I go ahead and agree and then say "I'm away from my computer right
now. Could you send me an e-mail with that request so I don't forget
it?" If they send me the e-mail I have the paper trail. If they don't
I have two options:
1) I could "forget" to do it. Or
2) I write up my own notes on the conversation and e-mail it to THEM,
saying "Here's what I remember of our conversation. If I got anything
wrong please let me know; otherwise this is what I'll be doing."
Last, remember who's paying the bills. THAT'S the person you need to
stay in good with. If these changes are coming from someone else be
sure to forward them to the bill payer as they come in. Especially if
they are causing rework or a delay in the project schedule.
This is one reason why I like being in Retail - much less CYA!
